I’m so thankful AI has made it easier to streamline my back-office ops as a biz owner.
I admit, I have not always been on top of tracking where each of our clients landed. That kind of meticulous record-keeping is one of my weaknesses.
I’d celebrate a client’s offer with Amit S., create a success story here, mean to log it somewhere... and then move on to the next coaching session...
But I finally found a way to make it simpler with AI once it helped me with the data flow and plumbing underneath.
It built 2 connected databases in Notion: my client pipeline (synced from HoneyBook starting from the beginning of the sales journey) and an offers db, one row per offer landed.
They’re linked by a relation, so every placement ties back to a real client.
That one decision is what turns scattered screenshots into data I can actually slice by company, year, level, as well as reasons they reached out, what angles in my content they resonated with which helps me track what type of content actually led to actual offers!
The data entry is the easy part now. I just talk; it lands in the right place, double checking with my email threads and Fathom.ai transcripts, reconciled against HoneyBook so the data captured is accurate.
I’m also excited that now I can answer the top question from prospects: “what’s your success rate?”
Now I have a simpler way to show where our clients land, the range of outcomes, the whole picture.
Soon I’ll just point people to a live, anonymized dashboard.
The work I’m worst at is finally getting done because of AI, which is an actual business outcome (and not just more output.)
